ORGANIZATIONAL PROFILE

Partners in Health (PIH) is a non-profit organization based in Boston,
Massachusetts, USA, whose mission is to provide a preferential option for the
poor in health care. Through service delivery, training, advocacy and
research, PIH works globally to bring the benefits of modern science to those
most in need and to serve as an antidote to despair. PIH has programs in
Haiti, Peru, Mexico, Russia, Rwanda, Lesotho, Malawi, Sierra Leone, Liberia,
Kazakhstan and Boston.

PIH began working in Malawi in 2007, where today we support the Ministry of
Health (MOH) to serve a catchment area of 165,000 through 12 health centers
and two hospitals in partnership with our sister organizations, Abwenzi Pa Za
Umoyo (APZU) is in Neno District.

Position Finance Assistant (1 Position)

Reports to Finance Officer

Commitment Full Time (Monday-Friday)

Working Hours Regular Office Hours (40Hrs/Week)

Location Neno District, Malawi

Position Summary

> Distributing cash daily to support Hospitals/Health Centres and PIH activities.
> Assuring completeness of payment vouchers or receipts presented to guarantee compliance with PIH internal financial guidelines.
> Ensuring security, daily monitoring and reporting of petty cash entrusted to him/her.
> Ensuring efficient and timely processing and reconciliation of all internal transactions. He/she is also responsible for daily cash counts together with a Finance Officer, if available.

Responsibilities and Duties

> Managing petty cash for all official purchases and expenditures and ensure that all operations and approvals are within agreed organisational standards.
> Preparing accurate reconciliation records that prov de full and correct expenditure details for review by Finance Officer.
> Recording all financial petty cash transactions in the accounting software or in a Microsoft Excel template for review by Finance Officer prior to their posting/upload in the main accounting system.
> Coordinating with the finance team and department heads to oversee the smooth dispersal of funds to both staff and patients.
> Preparing daily petty cash reconciliations for review by Finance Officer.
> Proper filing of payment vouchers and their supporting documents.
> Reconciliation of Advances.
> Support in Preparation of Cheques and make entries in Accounting package.
> Support in preparation of monthly financial report.
> Payment of CHW monthly stipends.
> Any other duties assigned by supervisor in the interest of the organisation.

Required Qualifications and Experience

> Diploma in Accounting.
> At least 2 years’ experience in accounting and demonstrated track record in financial management of grant-funded development/health projects.
> Ability to interact effectively and appropriately via telephone, electronic communication, and in person with medical, clinical, and administrative staff.
> Superior communication skills (verbal, interpersonal, written).
> Must be self-motivated and work with minimal supervision, yet able to recognize when it is appropriate to seek assistance.
> Ability to keep accurate records and pay close attention to detail.
> Ability to effectively manage and prioritize multiple tasks.
> Detail oriented and well organized.
> Computer literate including Microsoft Office Suite.
