BACKGROUND
Government of Malawi and European Union signed a Financing Agreement to
implement the Afikepo Nutrition Programme in Malawi under the 11th European
Development Fund to the value of Euro 70 million from 2017 to 2025. The
programme’s overall objective is to contribute to enhanced nutrition security
of all Malawians particularly for achieving optimal nutrition for women of
child bearing age, adolescent girls, infants and young children in ten (10)
selected districts through capacity building, advocacy and awareness raising.
The districts are Chitipa, Karonga, Nkhatabay, Mzimba, Salima, Kasungu,
Nkhotakota, Chiradzulu, Thyolo and Mulanje. The programme is implemented by
the Food and Agriculture Organization (FAO) of the United Nations (UN).
Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ), the Ministry of
Health, Department of Nutrition and HIV AIDS (DNHA). DNHA is the overall
coordinator of the programme. The coordination activities are implemented
jointly with other key sector ministries. In view of this., the DNHA
established a Programme Management Unit to lead in the implementation of the
programme coordination related activities which includes provision of
technical assistance and ancillary tasks relating to planning, management,
implementation, monitoring. reporting, procurement and financial management.
Applications are invited from suitably qualified and interested Malawian
citizens to fill the following position in the PMU.
POSITION PROGRAMME ASSIGTANT-GRADE 4 (1 POST)
The Programme Assistant will report directly to the Imprest Accounting Officer
and will perform secretarial and other administration duties in support of the
core operations of the Afikepo Nutrition Programme.
QUALIFICATIONS AND EXPERIENCE
Aspiring applicants should ensure they possess the following
• A Diploma in Business Management with seven (7) years experience or Advanced
certificate with a minimum of ten (10) years of relevant experience.
• At least seven (7) years administrative experience preferably in donor
funded projects or international organizations,
• Experience in planning and coordination of events, meetings and workshops.
• Experience in setting up and maintenance of an office filing and
administrative system,
• Experience in fleet management,
• Proven competence m the setting up and maintenance of and office filling and
administrative system.
• Fully computer literate with proven competence in Microsoft Office Suite,
• Knowledge of modern office practices, procedures and equipment,
• Typing speed of 120 words per minute.
MAIN DUTIES AND RESPONSIBILITIES INCLUDE
• Supervision of the driver and office assistant,
• Maintenance of the PMU correspondence filing/document system,
• Maintenance and administration of PMU personnel files
• Maintenance of the PMU office inventory,
• Administrative coordination. logistical preparations and minute-taking at
PMU organized meetings.
• Planning and coordination of meetings/diaries of senior PMU staff,
• Coordinate the management of PMU office supplies.
• PMU petty cash and fuel replenishment,
• Troubleshoot internet, computer problems and basic systems administration in
close coordination with relevant Service Providers,
• Coordinate and maintain PMU Service Level Agreements (SLA), including for
the Local Area Network (LAN)
• Provide day to day secretarial and administrative support to PMU staff.
• Developing and maintain project asset register.
• Assist in fleet management for the PMU.
• Any other duties as assigned.
REMUNERATION
The Afikepo Programme will offer competitive packages commensurate with the
qualifications and experience, in line with the EU approved salary scale for
EU funded programmes.
CONTRACT PERIOD
The successful candidate will be offered a one-year contract subject to
renewal upon satisfactory yearly performance appraisal outcomes.
LOCATION
The position is tenable at the Programme Management Unit (PMU) in the
Department of Nutrition, HIV and AIDS (DNHA) in Lilongwe.
